Job Description:
Chicago-based professional society seeks Manager of Meeting & Travel Services to organize and assist in all event, meeting and travel arrangements inside and outside the office. This hands-on manager will work closely with the C-suite. Reports to VP of department.

Qualifications:
Bachelor’s degree with no more than 4-6 years’ experience in hospitality management or meeting/event planning. Professional, service oriented demeanor at all times. Candidate must be a diplomat, able to work with high-level executives and professionals. Exhibit patience and tact; stay calm and unruffled when working with a wide range of personalities.
Candidate must be resourceful with good negotiating abilities. Demonstrated success at handling multiple projects simultaneously while paying attention to details.
Responsibilities:
o Plan and execute arrangements for meetings and events inside and outside of office, including space rental, catering and AV requirements.
o Coordinate events from weekly presentations to staff appreciation events to large association-wide annual meeting.
o Arrange transportation, meals, and lodging for staff and members as needed. Provide confirmation and excellent customer service when making arrangements.
o Negotiate with vendors, including hotels and airlines, for best rates.
o Assist in preparation of collateral and other materials for events.
o Reconcile monthly bills and submit to proper internal channels.
Some weekend/evening hours as needed for event coverage. Possible regional or domestic travel.
