Responsibilities
Support and Preparation
- Heavy scheduling of client calls and meetings
- Maintain distribution and contact lists
- Provide document preparation and distribution support
- Develop strong working relationships with member and client Executive Assistants, or members and clients themselves to facilitate successful scheduling
- Secure and maintain all member information in CRM database (contact, member preferences, all events, recruitment, communications and content tracking)
- Distribute and track all membership communication
- Provide administrative support at events as needed
- Arrange travel logistics as needed
- Distribution of materials to include printing and binding
- Coordinate with client teams on the preparation of materials or information prior to meetings
- Manage and coordinate the production of the following materials: member directory, meeting book, tent cards, badges, signs and contact cards
- Proactively monitor both incoming and outgoing e-mails and respond as appropriate
- Respond to scheduling requests in a timely fashion
